1. Data We Collect

When you register for a 30-Day Free Enterprise Access Workspace or communicate via our WhatsApp Business Cloud API, ScoreMax collects:

• Full Name and Academic / Coaching Institute Name
• WhatsApp Mobile Phone Number (used for OTP verification & onboarding alerts)
• Official Email Address (used for workspace administration)
• City / Geographic Location and Active Student Roster Size

2. How We Use WhatsApp Data

WhatsApp Phone Numbers are processed exclusively through Meta Cloud API for:

• Sending 1-time One-Time Passcodes (OTP) for account verification
• Delivering 1-tap workspace activation links and onboarding notifications
• Providing examination and assessment updates requested by the user

We do NOT sell, rent, or share WhatsApp phone numbers with third-party advertisers.

3. WhatsApp Business Messaging for Institutes

ScoreMax is a technology provider on Meta's WhatsApp Business Platform. Coaching institutes, schools and colleges using ScoreMax ("Institutes") may connect their own WhatsApp Business Account to ScoreMax through Meta's Embedded Signup, so that ScoreMax can send and receive WhatsApp messages on their behalf.

When an Institute connects its account, ScoreMax processes, on that Institute's instructions:

• The Institute's WhatsApp Business Account ID, phone number ID, display name and access credentials issued by Meta
• Phone numbers and names of the Institute's contacts - enquiries, students and parents - that the Institute adds or that message it
• The content of messages sent and received through the Institute's number, and their delivery and read status
• Message templates the Institute creates, and Meta's approval status for them

For this data the Institute decides why and how it is processed, and ScoreMax processes it only to provide the messaging, inbox, campaign and enquiry-tracking features the Institute uses. Messages are transmitted through Meta's WhatsApp Cloud API, and Meta processes them under its own terms and privacy policy. ScoreMax does not use Institutes' contact lists or message content for advertising, does not sell them, and does not share them with other Institutes. Access credentials are stored encrypted and used only for the Institute that issued them.

4. Consent and Opting Out of Messages

Institutes may send promotional or informational WhatsApp messages only to people who have agreed to receive them, and must honour requests to stop. Anyone who receives such a message can opt out at any time by replying STOP, or by asking the Institute directly; ScoreMax records the opt-out and stops further promotional messages from that Institute to that number. Service messages you request (for example, one-time passcodes or replies to your own enquiry) may still be sent.

5. Data Retention

Account data is kept while the account is active. WhatsApp message content and contact records of an Institute are kept while that Institute uses ScoreMax, and are deleted when the Institute disconnects its WhatsApp account and asks for deletion, or when its ScoreMax account is closed - except where the law requires us to keep a record for longer.

6. User Data Deletion & Right to Opt-Out

Users may request complete deletion of their account data, lead profiles, and WhatsApp interaction logs by emailing info@getscoremax.in. All requested records will be permanently expunged within 48 hours.

To request deletion:

1. Email info@getscoremax.infrom the email address or WhatsApp number linked to your data, with the subject "Data Deletion Request".
2. Say whether the request covers your own ScoreMax account, or your contact record held by an Institute.
3. We confirm by reply when the deletion is complete.

If you are a contact of an Institute (for example, a student or parent who enquired), you may also ask that Institute directly. An Institute that disconnects its WhatsApp account from ScoreMax may ask us to delete all message data held for it in the same way.
